Business software: CRM, ERP and billing

Custom inventory management software development

I do custom inventory management software development for manufacturers, traders and distributors whose stock lives in Excel sheets, a billing app and people's memory at the same time. The system I build records every movement as its own row, from purchase order and goods receipt to production, transfer and dispatch, so the stock figure on screen can always be traced back to the entries that made it. I have built reservation and reversal of warehouse stock for production orders, and packing changes that update shipments in a single transaction, so I design for the moment two people touch the same stock at once.

What’s included

  • A stock ledger where every receipt, issue, transfer and adjustment is a dated row with its source document
  • Multiple warehouses and godowns, with transfers recorded as stock leaving one place and arriving at another
  • Batches or lots with expiry dates, where your goods need them
  • Purchase orders, goods receipt notes (GRN) and supplier bills matched against each other
  • Reservations for orders and production, with reversal when an order or job is cancelled
  • Dispatch, pick lists and packing lists, with row locks so two dispatches cannot oversell
  • Reorder levels, stock valuation and stock reports with Excel and PDF export
  • Excel import of items and opening stock, with an error report for rows that need fixing
  • Barcode or QR labels and scanning (can be added)

When custom inventory software is worth building

Start with the honest option. For stock management software for small business needs, such as one shop or one godown with simple items, Tally Prime's inventory features or Zoho Inventory are usually enough, and much cheaper than a build. If your accountant already keeps stock in Tally, the first step may simply be tidying the item masters.

Custom software earns its cost when stock is tied to your operations in ways a product does not model: raw material that turns into finished goods, scrap that should be used before fresh stock, goods sent out for job work, several companies sharing godowns, or dispatch that depends on packing and shipment planning. It also pays off when staff keep a parallel Excel sheet because the product cannot show what they need. My inventory management software development services cover these cases, usually as one module of a wider custom ERP.

A stock ledger, not a stock column

The most common mistake in home-grown inventory systems is a quantity column on the item that every screen adds to or subtracts from. After a few months nobody can explain why the number is wrong. I build a ledger instead:

  • Every movement is a row. Receipt, issue to production, transfer, sale, return or adjustment: each records item, warehouse, batch, quantity, rate, date, user and the document that caused it.
  • Balances are derived, never edited. Stock on hand is the sum of the ledger. A cached balance can exist for speed, but it is updated in the same transaction as the ledger row and can be rebuilt from it at any time.
  • Mistakes are reversed, not deleted. A wrong entry gets an opposite entry with a reason, so the history stays complete and audits are simple.
  • Adjustments need a reason and a role. Physical count differences go through an adjustment document that only certain users can approve.

Warehouses, godowns, batches and reservations

Warehouse management software development starts with locations: warehouses, godowns and, where it helps, racks or bins inside them. A transfer between godowns is two movements, out of one and into the other, with an in-transit state when goods take days to arrive. Batches or lots carry manufacturing and expiry dates for food, pharma, chemicals and similar goods, so issues can follow first-expiry-first-out and reports can warn before stock expires.

Reservations make stock honest. When an order is confirmed or a production job is planned, the quantity it needs is reserved, so available stock is on hand minus reserved. On the AI invoice capture project, production orders drew materials from scrap stock before general stock, with warehouse reservation and reversal, so cancelling a job returned materials and stock levels stayed true. The same idea covers cancelled orders, partial dispatches and returns.

Concurrency: two dispatches, one last carton

Overselling usually happens when two users read the same available quantity at the same moment and both save. I handle this the way I handle invoice numbers: the stock rows being changed are locked inside a database transaction, the available quantity is checked under that lock, and the second request waits for the first to finish before it reads. If the stock is gone, the second user sees a clear message instead of a negative balance.

On the export operations ERP, splitting or regrouping packed goods updated the dependent shipment data inside the same transaction, so a change either completed everywhere or not at all. A dispatch management system needs exactly this: a dispatch, its pick list, its packing list and its stock movements are saved together, or none of them are.

Purchase orders, goods receipt and supplier bills

The purchase side is where stock enters, so it decides the quality of everything after it. A purchase order records what you asked for at what rate. A goods receipt note records what actually arrived, including short or damaged quantities, and creates the stock movement. The supplier bill is then matched against the order and the receipt, so you only pay for what you ordered and received.

Partial deliveries, rate differences and returns to supplier are all handled as documents rather than edits. Supplier bills can be read from photos or PDFs by AI invoice processing and checked by a person, and sales invoices come from GST billing software in the same system, so stock and tax always agree.

Dispatch, barcodes, reorder levels and reports

Dispatch screens follow your process: order, pick list, packing list with cartons and weights, delivery challan or invoice, then the transport details. Barcode or QR labels on items, batches or cartons can be added, so staff scan instead of choosing from a list, which cuts picking errors.

Reorder levels per item and warehouse raise a list of what to buy before you run out, and can draft purchase orders from it. Stock valuation follows the method your accountant uses, usually FIFO or weighted average, and stock can be synced with Tally through Tally integration. Opening stock and item masters come in from Excel with validation, the same approach as an Excel to web app migration. Typical reports are stock by warehouse and batch, movement history per item, ageing, expiring batches, pending purchase orders and pending dispatches.

What affects inventory management software development cost

I do not publish prices, because one godown with simple items and a multi-company system with batches, production and dispatch are different projects. Inventory management software development cost depends mainly on:

  • The number of warehouses and companies, and whether godowns are shared
  • Batches, expiry, serial numbers or units of measure that convert (boxes, pieces, kilos)
  • Production, job work or bills of materials that consume and create stock
  • Purchase, billing and dispatch documents that must be printed in exact formats
  • Integrations: Tally, barcode scanners, a website or marketplace
  • How clean your current item list and opening stock are

How the work runs

  1. Walk through your stock flow

I look at how goods arrive, move, get used and leave, with your real documents and Excel sheets, on site in Gujarat or on calls elsewhere.

  2. Design the ledger and documents

Items, units, warehouses, batches and every document that moves stock are designed first, along with which rows lock when.

  3. Build and test with your data

Modules are built on a staging server and tested with your items, including the awkward cases: cancellations, returns and two users dispatching at once.

  4. Import opening stock and count

Items and opening stock come in from Excel in validated batches, checked against a physical count before go-live.

  5. Go live and support

I stay close through the first weeks of real receipts and dispatches, fix what daily use uncovers, then move to support or the next module.

Questions

  • Is custom inventory software worth it for a small business?

Often not at first. One shop or godown with simple items is usually well served by Tally's inventory or Zoho Inventory. Custom makes sense when stock is tied to production, job work, several godowns or companies, or a dispatch process those products do not fit.

  • How do you stop two people dispatching the same stock?

The stock rows are locked inside a database transaction and the available quantity is checked under the lock. The second request waits, then sees that the stock is gone instead of creating a negative balance.

  • Can it handle several warehouses and godowns?

Yes. Every movement records its warehouse, transfers are recorded as stock out of one and into another, and reports show stock per location or in total.

  • Do you build purchase order software India-based businesses can use with GST?

Yes. Purchase orders, goods receipt notes and supplier bills are matched against each other, with GST on the bill side, and the purchase data can be synced with Tally.

  • Can you import our current stock from Excel?

Yes. Items, units, batches and opening stock are imported in validated batches, with an error report for rows that need fixing, and checked against a physical count.

  • Can it use barcodes or QR codes?

Barcode or QR labels and scanning can be added for items, batches or cartons. Most USB and Bluetooth scanners type into the page like a keyboard, so no special app is needed for that part.

  • What does inventory software cost to build?

It depends on warehouses, companies, batches, production and integrations. I give a fixed quote after a walk-through of your stock flow, usually split into phases so the stock ledger goes live first.

  • Who owns the code and the data?

You do. The system runs on your own server or hosting account, and you get the full source code once the work is paid for.
