Business software: CRM, ERP and billing
GST billing software development for invoices, challans and quotations
I do GST billing software development for Indian businesses whose billing no longer fits a ready-made app: quotations that turn into orders and invoices, job work challans, export invoices, credit and debit notes, and the PDFs and reports your accountant needs. GST rules live in the data model rather than in a print template, so the invoice, the GST report and the entry in Tally always show the same numbers. I built the tax, numbering and data-isolation foundations of a Laravel ERP for a group of export companies, and I write billing code with transactions and row locks, so two people saving at once never get the same invoice number.
What’s included
- Quotations, proforma invoices, orders and tax invoices, each converting into the next without retyping
- CGST, SGST and IGST by place of supply, HSN/SAC codes, a tax summary by rate and the total in words
- Credit and debit notes linked to the original invoice, with reasons and GST adjustments
- Export invoices under LUT or with IGST paid, with the declarations each case needs
- Job work delivery challans, goods received back, balances pending with each job worker, and job work bills
- Number series per company and per financial year, issued under a row lock, with period locks after filing
- Print-ready PDFs generated with DomPDF, downloadable or sent by email
- E-invoice IRN and QR code, and e-way bills, through a GST Suvidha Provider's API (can be added)
- Tally integration, Excel exports and GST-ready sales and purchase registers
When a ready-made billing app is enough, and when custom billing software pays off
Most small businesses should start with a ready-made product, and I say so on calls. Tally Prime is what most Indian accountants already know. Vyapar is simple for shops and small traders on a phone. Zoho Invoice and Zoho Books are clean, cloud based and good at GST returns. Busy and Marg are popular with traders and distributors. Any of them produces a correct GST invoice for an ordinary sale, for far less than a build.
Custom billing software pays off when billing is tied to how you operate, and the ready-made app becomes a second system someone feeds by hand. Common signs:
- Staff type the same order into a sales sheet, a billing app and Tally, and the three disagree at month end
- Your invoices depend on data the app does not hold: job cards, packing details, machine hours, weights or monthly usage
- You do job work and need challans, returns and pending balances that a retail billing app does not model
- Several companies share one office, and each needs its own series, letterhead and private data
- Your bill calculation has rules (slabs, minimum charges, rates per customer) that people now work out in Excel
GST rules built into the data model, not the PDF
A billing system is only as good as the rules underneath it. When GST is worked out in the print template, the PDF can say one thing while the report says another. I store every decision on the invoice line itself, so every view, export and report reads the same values:
- Place of supply. CGST plus SGST inside your state and IGST across states, decided from the place of supply, not only the billing address, and stored on the invoice.
- HSN and SAC per item. Each item or service carries its code and rate, and the rate used is copied onto the line, so a later rate change does not rewrite old invoices.
- Decimals, not floats. Amounts and tax use fixed decimal columns and precise arithmetic, with one agreed rounding rule from line to total.
- Exports. Zero-rated supplies under LUT without tax, or with IGST paid, each with its own wording, currency and shipping details.
- Number series. GST invoice numbers must be consecutive, unique within a financial year and at most 16 characters. Each series belongs to a company, a document type and a financial year, and the next number is taken inside a transaction under a row lock.
- Period locks. Once a month's return is filed, its invoices are locked. Corrections then go through a credit or debit note, which is how GST expects them to be made.
Quotations to invoices, credit notes and debit notes
Quotation software development is usually the first module businesses ask for, because quotes are where sales staff lose time. A quotation should carry items, rates, taxes, terms and validity, go out as a PDF, keep its revisions, and convert into an order and then an invoice with one action. The invoice remembers its quote, so you can see what was quoted, ordered and billed for every customer.
Credit and debit notes are where generic invoice software development often cuts corners. Each note must point to the original invoice, carry its own number series, adjust the right tax heads, and show up correctly in the registers your accountant files from. Returns, rate corrections and discounts after sale all go through the same path, never by editing a posted invoice.
Job work challans and job work billing
Job work needs its own records. Under GST, a principal can send inputs or capital goods to a job worker without paying tax, under a delivery challan, provided they come back within the time limits (in the general case one year for inputs and three years for capital goods). The principal reports these movements in the ITC-04 return. So job work challan software has to answer, for every challan: what went out, what came back, what was used or wasted, and what is still lying with the job worker. Your accountant confirms which rules apply to your goods; the software keeps the records easy to produce.
From the job worker's side, job work billing software is about charges: per piece, per kilo, per process or per month, against the challans received from each principal. I worked as a developer on a manufacturer's job work billing ERP in Laravel, where I built monthly GST billing reports and customer bill views, found and fixed defects in the monthly bill calculation, and built print-ready PDF job slips and monthly bills with server-side validated entry forms.
E-invoicing, e-way bills and Tally integration
Businesses above the government's turnover threshold must report B2B invoices to the Invoice Registration Portal, which returns an IRN and a signed QR code to print on the invoice. In a custom system this is an e invoice integration through a GST Suvidha Provider's API: the invoice is sent when it is finalised, the IRN and QR are stored against it, and cancellations follow the portal's rules. E-way bills for goods movements can be generated through the same kind of API. Both can be added to the system you build with me; I scope them against your provider's API documentation and sandbox before quoting, rather than assuming.
Most businesses keep their books in Tally, and that should not change because billing moved. With Tally integration, sales, purchases, credit notes and ledgers reach your accountant's company without retyping, with a log of what was sent and what Tally rejected. Supplier bills can also be captured into purchase entries by AI invoice processing, with a person confirming each one.
What affects the cost of customized billing software development
I do not publish prices, because a quotation and invoice module and a full job work system with e-invoicing are very different amounts of work. After a call or a written brief, with sample invoices, challans and Excel sheets, I send a fixed quote, often split into phases. The main cost drivers for customized billing software development are:
- The number of document types: quotation, proforma, invoice, challan, credit note, debit note, export invoice
- How unusual your bill calculation is, and whether it depends on stock, production or monthly usage
- Single company or several companies with separate series, access and letterheads
- E-invoice and e-way bill integration, which depend on your GST Suvidha Provider
- Tally sync, payment links or WhatsApp delivery of invoices
- How much old data has to come in from Excel or another system
How the work runs
Collect your real documents
We start with your current quotations, invoices, challans and the Excel sheets around them, which show the rules better than any requirements list.
Agree the rules with your accountant
Tax cases, number series, rounding, period locks and the reports your accountant files from are written down and agreed before any screen is built.
Build on a staging server
You test each module with your own items and customers on a staging copy, and see real PDFs early, so the format is right before go-live.
Import masters and run in parallel
Customers, items, HSN codes and opening balances come in from Excel in validated batches. For a few weeks the new system runs alongside the old one until the totals match.
Go live and support
I stay close during the first billing cycles and the first return filing, fix what real use uncovers, then move to support or the next phase.

Questions
Why not just use Tally, Vyapar or Zoho for billing?
If one of them fits how you bill, use it: it is cheaper and proven. Custom billing software makes sense when billing depends on data those apps do not hold, such as job work, production or packing, or when staff already keep billing in Excel beside them.
Does it handle CGST, SGST, IGST and export invoices?
Yes. Tax is worked out from the place of supply, every line carries its HSN or SAC code and rate, and export invoices are supported both under LUT and with IGST paid.
Can you do e invoice integration for IRN and QR codes?
It can be added through a GST Suvidha Provider's API: the invoice is sent when finalised and the IRN and signed QR code are saved and printed. I scope it against your provider's documentation and sandbox before quoting.
Can the software generate e-way bills?
E-way bill generation can be added through a provider's API in the same way, using the invoice and transport details already in the system. It is scoped per project, with your provider chosen first.
Do you build job work challan software?
Yes. Challans for goods sent to job workers, receipts back, waste and pending balances per job worker, plus job work bills for charges. The records are kept so the ITC-04 details are easy to prepare with your accountant.
Can quotations convert into orders and invoices?
Yes. A quote keeps its revisions and converts into an order and then an invoice in one action, with a link back to the original quote.
How much does custom billing software cost?
It depends on the document types, the bill calculation, the number of companies and the integrations. I give a fixed quote after seeing your sample documents, often split into phases so billing goes live first.
Will the invoice numbers ever repeat or skip?
Numbers are issued per company, document type and financial year inside a database transaction with a row lock, so two users saving at the same moment cannot get the same number, and a new financial year starts its own series.
