Business software: CRM, ERP and billing
Custom CRM development for teams that sell, follow up and quote
I do custom CRM development for businesses whose sales process does not fit a standard product: leads from many sources, follow-ups that slip, quotations built in Excel, and customer history spread across phones and inboxes. I build one Laravel system where every enquiry has an owner, every follow-up has a date, and every quotation, order and reminder sits against the right customer. I have built a CRM for a travel agency with a WhatsApp chatbot that staff can take over, and I was technical lead on an ERP whose order-to-invoice flow is the back half of the same story.
What’s included
- Lead capture from website forms, WhatsApp, calls and Excel lists, with duplicate checks
- Follow-ups with owners, due dates, outcomes and a daily list for each salesperson
- A sales pipeline with your own stages, reasons for lost deals and conversion reports
- Quotations and proformas as PDFs, with versions, approvals and conversion to orders
- Customer records with contacts, family or branch members, documents and full history
- Reminders by WhatsApp, email and browser notifications, for staff and for customers
- Roles and permissions: who sees which leads, who can give discounts, who can export
- Reports and dashboards with Excel and PDF export
When custom CRM development makes sense
A custom build is worth it when the way you sell is specific enough that every product you try forces a workaround. The usual signs: staff keep a private Excel file next to the CRM; leads from WhatsApp and phone calls never reach the system; quotations live in Word files and nobody can find the latest version; or a manager cannot see which enquiries have had no follow-up for a week.
It suits small and mid-sized teams whose sales process has its own shape: travel agencies selling trips to families, manufacturers and traders quoting against price lists, and distributors with dealers in several cities. You own the code, so there are no per-user fees, and the system grows one module at a time.
It is not the right call if Zoho CRM, HubSpot or Perfex already fits most of your workflow with a few settings. A custom build only pays off when the gap is in the core of how you sell, not in a missing report.
What goes into a custom CRM: from enquiry to repeat customer
Every CRM I build follows the life of a customer, with screens staff use daily rather than forms filled in for the manager. A typical first phase covers:
- Leads. Every enquiry lands in one list with its source, owner and status. A phone number or email that already exists is flagged before a second record is created, so two salespeople never chase the same person.
- Follow-ups. Each lead carries its next action and date. Salespeople open the system to a list of today's calls and overdue ones, and every outcome is logged against the lead.
- Pipeline. Stages are yours, not a vendor's: enquiry, site visit, sample sent, quotation, negotiation, won or lost. Lost deals record a reason, which becomes one of the most useful reports once a few months of data build up.
- Quotations. Built from your products or packages with your price rules, numbered per financial year, generated as PDFs, revised as versions, and converted into an order or invoice without retyping.
- Customers. One record with contacts, addresses, GSTIN, documents, past quotations, orders and payments, searchable from anywhere in the system.
- Roles. A salesperson sees their own leads, a manager sees the team, and only the owner can export the customer list or approve a discount above a limit.
WhatsApp, reminders and a CRM for travel agency teams
A CRM only works if follow-ups actually happen, so reminders matter as much as screens. I add daily task lists, browser push notifications for staff, scheduled emails, and WhatsApp messages through Meta's WhatsApp Cloud API using approved templates. The messaging side is covered in detail on my WhatsApp API integration page.
The clearest example is a CRM for travel agency staff that I built in Laravel 12 with Livewire. It holds customers and their family members, trips, tour packages, departures, travellers, vendors, documents and trip payments in one admin panel. A WhatsApp chatbot answers customers with an interactive menu, templates and quick replies, and staff can step in and reply to a customer directly from the admin panel instead of the automated flow. Daily reminders, festival greetings, global search, role-based permissions and automated backups complete it.
Custom CRM software or Zoho, HubSpot and Perfex?
Here is the plain comparison, because I do both kinds of work. Zoho CRM and HubSpot are mature products with mobile apps, email integration and marketing tools on day one, paid per user. They are the better choice when your process is close to the standard lead, deal and contact model. Perfex is a self-hosted CRM with a one-time licence covering leads, customers, projects, estimates, invoices and tickets, and I extend it through Perfex CRM customization with upgrade-safe modules.
Custom CRM software wins in three situations. Your core records are something specific, such as trips with travellers or dealers with targets. Your team is large enough that per-user fees over a few years cost more than a build. Or the CRM must share data closely with an ERP, billing or stock system you already run. If none of these apply, start with a product and customize it.
A CRM for manufacturing business and trading teams, and where ERP starts
A CRM for manufacturing business teams has to know about price lists, minimum quantities, samples, repeat orders and dealer territories, and quotations often depend on stock or production lead times. I design the CRM so that a won quotation becomes a sales order cleanly, and the rest of the chain can follow when you are ready. On the export operations ERP I led, that order-to-invoice flow runs across a group of companies with separate data and document numbering under row-level locks, so no two invoices share a number.
This page is about the selling side. When you also need purchasing, stock, production or statutory documents, those are separate pages so each gets proper attention: custom ERP development for operations behind the sale, GST billing software development for invoices, credit notes and e-invoicing, and inventory management software development for stock, godowns and batches. A CRM built with me can connect to any of them, or to Tally, later.
Custom CRM development services from one engineer
My custom CRM development services are delivered by me, a senior software engineer working daily in Laravel, PHP 8 and MySQL, with queues, transactions and role-based admin panels. You explain your sales process to the person who designs the database and writes the code.
If you are comparing a CRM development company in India with a freelancer, the trade-off is capacity against directness. A company can run several streams at once. With me, you talk to the engineer directly, large systems are delivered in phases, and I tell you up front how much I can take on. I am based in Ahmedabad and can meet clients in Gujarat in person; elsewhere I work remotely with agreed update times.
What decides custom CRM cost
I do not publish prices, because two CRMs with the same module list can differ by weeks of work. Custom CRM cost depends on how much of your process is in the first phase, and the CRM development cost in India for a focused first phase is far smaller than for a system that tries to do everything at once. After a call or a written brief, I send a fixed quote per phase. The main drivers are:
- How many lead sources, pipelines and user roles the first phase must handle
- Quotation rules: price lists, discounts, approvals, versions and PDF layouts
- Integrations: WhatsApp, email, website forms, telephony, accounting or Tally
- Data migration from Excel or an old CRM, and how clean that data is
- Reports and dashboards beyond the standard set
- Hosting, backups and how much training and support you want after go-live
How the work runs
Map how you sell
We walk through a real enquiry from first contact to repeat order, with your quotation formats and Excel sheets. This becomes the specification.
Agree the first phase
I design the data model and split the CRM into phases, so leads, follow-ups and quotations go live first and the rest follows once staff are using it.
Build with regular demos
Each phase is built on a staging server, and you see working screens with your own sample data at agreed intervals instead of at the end.
Import your data
Customers, contacts and open leads come in from Excel or the old system in validated batches, with an error report for rows that need fixing.
Go live and train
I train each role on the screens they will use, stay close during the first weeks of real use, fix what daily work uncovers, then move to support or the next phase.

What clients say
Jay built a CRM that brought our leads, trips, travellers and payments into one place, and connected it to a WhatsApp chatbot. Customers get answers from the menu at any hour, and our team can step in and reply from the admin panel whenever a conversation needs a person. The daily reminders keep our follow-ups on track. He understood how a travel agency works and was easy to work with.

Questions
When is a custom CRM worth it compared with Zoho, HubSpot or Perfex?
When your core records or process do not fit a product without workarounds, when per-user fees across a growing team outweigh a one-time build, or when the CRM must share data closely with your own billing or stock system. If a product fits most of your workflow, customize it instead.
What is the CRM development cost in India?
It depends on the number of modules, roles, integrations and how much data has to be migrated, so a single figure would mislead you. I split the system into phases and give a fixed quote for each, so you can start with leads, follow-ups and quotations.
Can the CRM send WhatsApp messages and reminders?
Yes. Through Meta's WhatsApp Cloud API with approved templates, plus email and browser notifications for staff. On the travel agency CRM, customers chat with a menu-driven bot and staff can take over the conversation from the admin panel.
Can you move our leads and customers from Excel or another CRM?
Yes. Data is imported in validated batches with duplicate checks, and rows that cannot be imported come back in an error report so you can fix them. We check the counts together before switching over.
Should I hire a CRM development company in India or a freelancer?
A company gives you more people and parallel work. A freelancer gives you direct access to the person building your system. With me, you explain your process once to the engineer who writes the code, and larger systems are delivered in phases.
Can sales staff use it on their phones?
Yes. Screens are responsive, so staff can add a lead, log a call or send a quotation from a phone. For an internal CRM, a separate mobile app is rarely needed.
Who owns the code and where is it hosted?
You own the code and the data once the work is paid for. It runs on your own server or hosting account, and I can set up hosting, backups and deployments for you.
